Poster sessions are a core component of conferences organized by Conferences Global, providing an interactive platform for in-depth discussion, collaboration, and feedback. Presenters are expected to follow the guidelines below to ensure a professional and engaging poster session experience.
1. Poster Attendance & Professional Conduct
- Poster presenters are strongly encouraged to attend all days of the conference to maximize engagement, networking, and scientific exchange.
- During assigned poster sessions, presenters must be present at their posters for the full duration of the session.
- Presenters are requested to remain in the poster area during sessions and avoid unnecessary movement away from their assigned boards.
- If a presenter is unable to attend the full conference or assigned poster session, prior notification must be provided to the organizing committee.
- Professional, respectful interaction with attendees, judges, and fellow presenters is expected at all times.
Important: Active presence and engagement during poster sessions
contribute significantly to scientific discussion and award evaluation.
2. Poster Format & Technical Specifications
- Posters must be prepared in a clear, visually engaging format that effectively communicates research objectives, methods, results, and conclusions.

Recommended poster size (unless otherwise specified in the conference program):
- Portrait orientation
- A0 size (84.1 cm × 118.9 cm)
- Text and figures should be readable from a distance of at least 1–1.5 meters.
- Use clear section headings (Title, Authors, Affiliation, Introduction, Methods, Results, Conclusions, References).
- Excessive text should be avoided; visuals and bullet points are strongly encouraged.
Tip: Posters that balance visual clarity with scientific depth
are most effective and well received.
3. Poster Setup, Display & Removal
- Poster boards and basic mounting materials will be provided by the conference organizers, unless otherwise noted.
- Presenters must set up their posters during the designated setup time as announced in the final program or onsite instructions.
- Posters should remain displayed for the entire assigned display period to ensure maximum visibility.
- Posters must be removed promptly after the poster session or by the specified removal time.
- The organizing committee is not responsible for posters left unattended beyond the designated removal period.
4. Poster Presentation & Award Eligibility
Poster presenters may be eligible for Best Poster Presentation Awards, depending on the specific conference and award categories.
- Only posters presented in person are generally eligible for awards, unless otherwise stated.
- Judges will assess posters based on scientific merit, visual presentation, clarity of explanation, and engagement during discussion.
- Presenters should be prepared to briefly explain their work (2–3 minutes) and respond clearly to questions.
- Active participation and professional conduct throughout the conference may be considered during award evaluation.
Award Note: Selected awardees may receive reimbursement of
eligible travel, accommodation, and registration expenses after the conference,
subject to sponsor terms, documentation, and the specific award guidelines
for each event.
